Mobile Email Setup — iOS & Android

Step-by-step instructions for configuring your Gridmail account on iPhone and Android devices, including manual IMAP/SMTP setup, server settings, and signature standards.

1Pre-Setup Checklist

Before you begin, gather the following account details. Your IT administrator will provide these if you don't have them. Keep this information secure and do not share your password.

Server names: Incoming mail uses imap.emailarray.com and outgoing mail uses smtp.emailarray.com. These are the same for everyone — only your email address and password are unique to you. Spell the server names exactly; a typo is the most common cause of connection failures.

Universal server settings

These settings apply to both iOS and Android. Use them wherever the setup asks for server, port, or security details.

Always use IMAP, not POP. IMAP keeps your mail synchronized across all your devices — read, sent, and filed messages stay consistent whether you're on your phone, tablet, or desktop.

2Automatic Setup (Recommended)

Your mailbox supports autodiscover, which configures your device automatically. In most cases you only need your email address and password — the correct servers, ports, and security are applied for you. Try this first; only use the manual steps if automatic setup doesn't complete.

On iPhone & iPad

  1. Open Settings ▸ Mail ▸ Accounts ▸ Add Account ▸ Other ▸ Add Mail Account.
  2. Enter your Name, Email (you@yourdomain.com) and Password.
  3. Tap Next — the device will attempt to configure the account automatically.
  4. If it succeeds, tap Save. You're done.

On Android

  1. Open Gmail ▸ profile icon ▸ Add another account ▸ Other.
  2. Enter your full email address and tap Next, then your password.
  3. The app will try to detect settings automatically. If it succeeds, confirm your display name and finish.

If automatic setup completes, you're finished — skip the manual sections below. If your device can't find the settings, or sending/receiving doesn't work, continue with the matching manual setup section.

3Apple iOS — Manual Setup

◍ iPhone & iPad

Use these steps only if automatic setup didn't complete. They add your Gridmail account as a manual IMAP account on any iPhone or iPad.

Step 1 — Open Mail account settings

  • Open the Settings app.
  • Scroll down and tap Mail.
  • Tap Accounts, then Add Account.
  • At the bottom of the provider list, tap Other.
  • Tap Add Mail Account.

Step 2 — Enter your account details

  • Name: your display name (e.g. Jane Smith)
  • Email: you@yourdomain.com
  • Password: your mailbox password
  • Description: Company Email
  • Tap Next.

Step 3 — Enter incoming & outgoing servers

Make sure IMAP is selected at the top, then enter the server details for both sections:

If verification fails: go to Settings ▸ Mail ▸ Accounts ▸ [your account] ▸ Account ▸ Advanced and confirm the Incoming port is 993 with SSL on, then check the SMTP server shows port 465 with SSL on.

Step 4 — Update your signature

Replace the default "Sent from my iPhone" with your company signature:

  1. Go to Settings ▸ Mail ▸ Signature.
  2. Tap Per Account (not "All Accounts").
  3. Under your Company Email account, delete Sent from my iPhone.
  4. Type your company signature in its place.

4Android — Manual Setup

◍ Android (Gmail & default Mail apps)

Use these steps only if automatic setup didn't complete. They configure your Gridmail account manually in the Gmail app. The default Mail app on most Android phones follows a nearly identical flow — the field names are the same.

Step 1 — Add a new account

  • Open the Gmail app (or your device's Mail app).
  • Tap your profile icon, then Add another account.
  • Choose Other as the account type.
  • Enter your full email address you@yourdomain.com and tap Next.
  • When prompted, choose Personal (IMAP).
  • Enter your password and tap Next.

Step 2 — Incoming server settings (IMAP)

On the incoming server screen, enter:

On the outgoing server screen, make sure "Require sign-in" is enabled, then enter:

Step 4 — Display name & signature

On the final setup screen:

  • Set Your name to your display name — this is what recipients see (e.g. Jane Smith).
  • Tap Next to finish adding the account.

Then set your mobile signature to the company standard:

  1. In Gmail, open Menu ▸ Settings.
  2. Tap your company email account.
  3. Tap Mobile Signature.
  4. Replace any default text with your company signature and tap OK.

Setup complete. Send yourself a test email from another account and reply from your phone to confirm sending works and your signature and display name appear correctly. If sending fails, re-check the SMTP port is 465 with SSL/TLS and "Require sign-in" is enabled. If your network or ISP blocks port 465, use port 587 with STARTTLS instead.

5Calendar & Contacts Sync (Enhanced)

The steps above sync your email. Enhanced mailboxes can also sync calendar, contacts, tasks and notes across devices. Basic mailboxes support email only. There are two methods — ActiveSync is the simplest.

Option A — ActiveSync (mail + calendar + contacts in one)

On a device that supports it, add an Exchange / ActiveSync account. This sets up email, calendar and contacts together in a single step.

Server name format: replace the dots in your domain with a double dash. For howm.org the server is howm--org.w.emailarray.com; for acme.com it's acme--com.w.emailarray.com. Your IT administrator can confirm your exact server name.

Option B — CalDAV & CardDAV (calendar/contacts only)

Use this if your device doesn't offer ActiveSync. Each user has a unique sync URL found in their own webmail:

  1. Log in to your webmail and click your profile icon ▸ My Account.
  2. Open the Synchronization tab on the left.
  3. Copy the CalDAV URL (calendar) and CardDAV URL (contacts).
  4. On your device, add a CalDAV or CardDAV account, paste the URL, and sign in with your full email address and password.
